Streamline your quoting process by instantly creating quotes with emails from your customers. Compile a checklist and fast track organization of quotes with the quote requests dashboard. Let’s explore.
1. You must set up your email configuration first to populate the quote request dashboard. Learn how to install and setup your email in our resource center.
2. Once it is setup, select “Quote” and choose “Quote Requests” from the dropdown menu.
3. The inbox used during setup of your email will be displayed here. Let’s explore the command options. They include:
- Refresh – Refresh the inbox.
- View – View the quote request in an expanded window.
- *Load Email* – Reload the inbox to look for new quote requests. The first action needed to be taken when entering the RFQ screen.
- Create Quote – Start a new quote with the customer information.
- Spam – Designate the quote request as Spam.
- Delete – Delete the quote request.
- Remove All – Remove all quote requests.
4. Filter the quote request status using the filter dropdown. You can also adjust the view of information by selecting the grid dropdown and selecting or deselecting options.
5. We have a new request, QR20! Before we create a new quote, notice the organization and sales rep columns are empty. The customer resource management (CRM) will automatically assign a sales rep and organization if the customer has already been added to the CRM. For QR20 we will need to add this customer to the CRM. Select the “+” to add an organization.
6. Fill in the customer information. If you need more help on this and how to setup an email on the contact level, check out our resource center for more information on the CRM.
7. Assign the newly created organization to the quote request by using the search field. Then, select a sales representative that will manage the request.
8. Now, let’s create a quote. If a customer attaches a file to the request, view and download it by selecting the paperclip icon. Next, select “Create Quote.”
9. The quote will automatically populate the customer’s organization, contact, and financial details available from the CRM.
10. Use the scratch pad to reference the customer’s request and add information such as material and thickness. If you need further assistance in completing your quote, check out our resource center for more information.
11. Congratulations! Let’s put that all together. Here is a short video of how it works after setting up the customer in the CRM.
